Preparing to Present at the 36th Annual UBRP Conference
All students who participated in UBRP programs in Summer 2024 (UBRP, ASPET, Beckman Scholars, BRAVO!, DSA, EHS-RISE, EHS-TRUE, NACP, and PHIRE), as well as participants in MARC and DICR, are expected to present at the 36th Annual UBRP Conference, to be held on Saturday, January 25, 2025. Student presenters should read the information below in preparation for the UBRP Conference; event details for visitors can be found on the event webpage.
Student presenters must submit their abstracts and poster titles by 11:59pm on December 1 via Qualtrics at https://uarizona.co1.qualtrics.com/jfe/form/SV_1Mv6onU5OtVuelE. Final posters will not be due until the day of the Conference, when students will bring them directly to the event. Posters will not be made available online or in printed materials.
Invite your research mentor, family, friends, and anyone else you think would be interested in attending! Visitors, including research mentors, should RSVP at https://ubrp.arizona.edu/conference/36th-annual-conference and will be e-mailed additional event information. Student presenters do not need to RSVP.
Poster Content: Connect with your mentor to determine the proper sections, layout, figures/images, and content for your poster. If you’d like, you can meet with a UArizona Undergraduate Research Ambassador to receive guidance in preparing your poster and/or presentation.
Poster Size: Your poster for the UBRP Conference should be 36” wide by 48” tall -- portrait orientation! Discuss sections and layout with your mentor. If you are planning to use an already-made poster, you are permitted to do so, but if it is larger than 48” by 48”, you must e-mail Jennifer at cubeta@arizona.edu by December 31 with your poster dimensions so we can make proper accommodations.
Many offices and colleges at the University of Arizona, government agencies, donors, and other groups have made your research experience possible! Make sure to recognize your funders on your poster. Besides acknowledging your UBRP funder (check the link below), ask your mentor what additional funding sources should be included on your poster.
Costs for poster printing for the UBRP Conference are not covered, except for students in DICR, EHS-RISE, EHS-TRUE, MARC, PHIRE and NACP. Students in these programs will be emailed information on printing separately; all other students must make individual arrangements for poster printing. Talk with your mentor about any printing resources that may be available; additional resources are listed below.
Poster Printing Resources:
- Students who are pharmaceutical sciences majors or are working with faculty in the College of Pharmacy may be able to print their posters for free through the R. Ken Coit College of Pharmacy.
- Students working with faculty in the College of Engineering should ask their mentors if they about printing resources through ENGR-IT.
- Reproductions, Inc., located near campus at 234 E. 6th Street, is offering UBRP students a discounted rate of $48. If using this company, students must upload their posters to their website by Tuesday, January 21 at the latest (and preferably farther in advance of the Conference), following these directions:
- Create your poster using Microsoft PowerPoint and save your final poster as a PDF. As a less ideal alternative, if you use any other software to create your poster (Google Slides, etc.), you must save your final poster as a TIF or JPG file.
- Use the "upload file" button at https://reproductionsinc.com/, select the “Presentation Color” form, and once you are inside the form indicate “presentation bond” as the media type and include “UBRP” for the job name so you can receive the discount. You can also list any instructions in the “additional instructions” area.
- Fast Copy in the Student Union charges $48 ($4 per square foot), plus a small cutting fee. Students should submit their posters as soon as possible, but at least 3-5 business days in advance using the “wide-format order request” on the Fast Copy website, and request their poster to be printed on “presentation bond” paper. Fast Copy offers a 10% discount if payment is made using a University account number; students may also pay using credit card or CatCash.
Do not wait until the last minute to print your poster! You are responsible to bring your own poster to the Conference, so plan your pick-up time accordingly. You will likely need to submit your poster for printing 3-5 days and preferably one week in advance, depending upon the printer.

- Audience: The UBRP Conference audience will be broad and may include your peers, faculty mentors and scientists, friends and family, representatives from bioindustry, elected officials, UA administration and staff, members of the media, and the general public. Work with your mentor to develop your presentation for both science-savvy visitors and laypeople…and practice it in advance with your mentor, labmates, friends, and others.
- Presentation Time: Students will be assigned a presentation time of 9:30-10:30am, or 10:30-11:30am for the Conference, and will be emailed their assigned presentation time a week prior to the event.
- The day of the UBRP Conference, please dress for success (the dress code is business / business casual), be on time, attend the entire event, and enjoy the experience!

UBRP has the following scholarships available for active students in the program:
UBRP Travel Award
These awards are designed to support current UBRP, ASPET, EHS-TRUE, and NACP students in presenting their research at a scientific conference. A typical travel award amount is $500. Applications must be received at least one month prior to your conference. See this application for more information and the full set of requirements. E-mail the completed application and supplementary documents to Jennifer at cubeta@arizona.edu for review.
Applications for Travel Awards are accepted on a rolling basis; funds are limited, and decisions will be made on a first-come first served basis.
UBRP Galileo Circle Scholarship
These $1,000 scholarships support outstanding UBRP participants who are majors in the College of Science. Information and applications for the UBRP Galileo Circle Scholarship will be e-mailed directly to eligible applicants in the spring semester.
